MAINTENANCE
We believe maintenance to be a basic ingredient in the mix of management services. Deferred maintenance results in the eroding of assets under Board control. A well executed program of maintenance is not necessarily costly. Planning and management supervision is fundamental to maintaining the value of the assets controlled by the Board. Lincolnway Management maintains a friendly Customer Service staff ready to answer calls from residents requiring repairs and we have our own staff of full-time qualified maintenance and repair personnel ready to respond to requests for service or to conduct routine maintenance projects in a timely manner. We also maintain an emergency response team on call 24 hours per day, 7 days per week.
When major maintenance or repair is required, we prepare the necessary
competitive bid requests and facilitate bid acquisition. We also participate in
the review and recommendation of the various bids for contracts. The final
approval of all bids remains, of course, with the Board of Directors.
The general functionns of management with regard to the maintenance of the
Association's physical assets are generally as follows:
- Receive and act upon all maintenance requests from condominium
members within parameters established by Board policy
- Maintain an up-to-date directory of qualified professional contractors
and maintenance personnel
- Make an initial and regularly scheduled maintenance inspections of the
ground and external building conditions
- Ensure timely and efficient maintenance of those items notes
- Report to and cooperate with the Board to determine the preferred
corrective action
Lincolnway uses a work order system to track maintenance and service requests. Board members and residents can request service by calling us or sending us an e-mail. Through this system we:
- Generate work orders for all maintenance requests and assign work to
appropriate maintenance personnel or contractors
- Monitor and follow up to ensure that work is completed in a timely
fashion
- Maintain a record of all work performed by building address and unit
number
- Report all open work orders from time to time
- Report to the Board the work orders completed on a periodic basis
